Camp Policies & Participant Standards

It’s more than a camp — it’s an experience.

At Hoops & Heritage Global Society, we are committed to providing a structured, safe, and high-quality environment for every athlete. The policies below help ensure a positive experience for players, families, coaches, and staff.

Who Can Attend (Eligibility)

Hoops & Heritage camps are open to athletes ages 12–18.
(Exceptions are allowed on a case-by-case basis)

Athletes may turn 19 during the calendar year of the camp and still participate.

Participants should be actively involved in organized basketball such as:

  • school teams

  • club teams

  • academies

  • competitive training programs

Training groups are organized by age and skill level to create the best development environment. Hoops & Heritage reserves the right to adjust groups if necessary to ensure safety and proper competition levels.

How Registration Works

Camp spots are first-come, first-served.

A non-refundable deposit is required to secure a spot in any Hoops & Heritage camp.

Once a camp reaches capacity, additional athletes will be placed on a waitlist.

We intentionally limit camp size to maintain strong supervision standards and provide a meaningful experience for every participant.

Payments, Deposits & Refunds

Deposits

Deposits are non-refundable. Deposits secure staffing, facilities, housing blocks, and operational planning.

Final Payments

Remaining balances must be paid by the published payment deadline. Failure to complete payment may result in forfeiture of the reserved spot.

Refund Policy

Refunds are not provided for:

  • missed days

  • early departures

  • dismissal due to conduct violations

If Hoops & Heritage cancels an event, families will be offered either:

  • a full refund, or

  • a credit toward a future Hoops & Heritage program.

Flights & Travel

Camp fees do not include international flights unless explicitly stated on the camp page.

Families are responsible for booking travel.

Each camp will provide recommended arrival and departure windows so staff can assist with athlete check-in and supervision.

Lodging & Athlete Supervision

Athletes stay in approved accommodations selected by Hoops & Heritage, which may include hotels or dorm-style facilities depending on the location.

Room assignments are made by camp staff.

Our supervision standard is a minimum of one counselor for every twelve athletes.

Counselors and staff supervise:

  • room checks

  • wake-up calls

  • meals

  • scheduled activities

  • evening curfews

Athletes are not permitted to leave supervised areas without staff permission.

Player Safety & Safeguarding

The safety of every participant is a top priority.

Our safeguarding standards include:

  • structured supervision throughout camp activities

  • clearly defined staff responsibilities

  • safe interaction guidelines between staff and athletes

  • designated leadership responsible for addressing safety concerns

Any behavior that compromises the safety or wellbeing of participants will be addressed immediately.

Medical Care & Insurance

Athletes must submit medical information and emergency contact forms before participating in camp activities.

An Athletic Trainer or medical professional will be present during on-court activities where required.

Participants are responsible for maintaining personal health insurance, particularly for international travel.

Additional insurance coverage may be provided where required by local regulations.

Code of Conduct

Hoops & Heritage represents a global basketball community. All participants are expected to behave respectfully and responsibly.

Athletes are expected to:

  • follow camp schedules

  • respect coaches, staff, teammates, and facilities

  • represent Hoops & Heritage positively on and off the court

Prohibited behaviors include:

  • bullying or harassment

  • violence or threats

  • substance use

  • leaving supervised areas without permission

  • repeated disregard for camp rules

Violations may result in dismissal from camp without refund.

Media & Image Use

Hoops & Heritage camps include photography and video capture for program documentation and storytelling.

By participating, families grant permission for Hoops & Heritage and partners to use approved media for:

  • website content

  • social media

  • recap videos

  • promotional materials

Families with concerns regarding media use should contact us prior to the start of camp.

Schedule Changes & Force Majeure

International events require flexibility. Hoops & Heritage reserves the right to adjust:

  • schedules

  • facilities

  • activity programming

  • staffing assignments

If disruptions occur due to weather, travel issues, or circumstances beyond our control, we will communicate promptly and act in good faith to protect athletes and families.
